Senior Executive Assistant (Mexico, Remote)

Support the founder of a Mexico-based company by managing schedules, communications, vendors, and project coordination. Keep construction, operations, finance, and recruiting workstreams aligned through clear tracking, follow-up, and decision support.

Description

  • Safeguard confidential company information and handle it with sound professional judgment
  • Prepare meeting materials, arrange rooms, capture minutes, and organize special events and town halls
  • Serve as the coordination link between executives and internal or external partners
  • Oversee office supplies and routine administrative processes
  • Manage calendars, inbox triage, travel arrangements, and meeting preparation across Pacific Time
  • Write emails, presentations, one-page briefs, and follow-up communications in English and Spanish as needed
  • Protect the founder’s schedule by declining, rescheduling, grouping, and escalating requests
  • Monitor unresolved items and drive them through to completion
  • Unify project workstreams within a single plan and keep the master schedule current
  • Create and maintain trackers, standard operating procedures, meeting rhythms, and decision records
  • Schedule and coordinate architects, engineers, lenders, subcontractors, and agencies against agreed dates
  • Identify schedule risk early and propose a practical next action
  • Produce a weekly scorecard summarizing progress, blockers, and decisions required
  • Keep CRM and pipeline records current and maintain organized document control
  • Support vendor evaluation, onboarding, and invoice routing
  • Coordinate recruiting activities

Requirements

  • Live in Mexico and maintain a dependable home office with professional video presence
  • Have C1-level or stronger written and spoken English
  • Be a native or bilingual Spanish speaker
  • Bring at least four years of experience supporting a founder, partner, or general manager, or coordinating projects with multiple stakeholders
  • Demonstrate strong ownership and a consistent record of completing work
  • Work confidently with Google Workspace, Microsoft Planner, Notion or a comparable tool, Slack, Zoom, and Excel or Google Sheets
  • Experience in construction, real estate, or another deadline-driven environment is preferred but not required
  • Exposure to CAPM, PMP, or Scrum practices is a plus
  • Experience supporting US clients or a US-based founder is a plus
  • Familiarity with California permitting, modular or prefab construction, or design-build is a plus
  • Ability to turn an unstructured 20-minute voice note into a polished one-page brief is a plus
