Office Administrator – Hilton Head, SC (Onsite)

Support payroll, billing, client and vendor relationships, and administrative staff at MasterCorp’s Hilton Head laundry plant. Coordinate office operations for a hospitality services provider.

Description

  • Coordinate daily office activities and operations
  • Provide clerical and administrative support to management
  • Supervise administrative staffing and daily workflow
  • Delegate responsibilities to maintain efficient administrative operations
  • Manage business relationships with clients, vendors, and Associates
  • Consolidate payroll information and answer payroll-related inquiries
  • Compile invoices and forward them to Accounts Payable
  • Create and maintain databases and financial and operational records
  • Support Accounts Receivable billing activities and respond to inquiries
  • Assist with calls regarding overdue client accounts
  • Monitor annual pricing, automatic increases, and contract renewal dates
  • Manage petty cash requests, distribution, and tracking
  • Complete and document bank deposits
  • Prepare and distribute weekly performance metrics
  • Maintain communication boards and document logs
  • Support proposals for scope-of-work changes and prospective clients
  • Help Associates with benefit and payroll questions
  • Monitor the vehicle fleet through Fleetio and GPS systems
  • Respond to new business inquiries and client requests
  • Route client concerns to the appropriate operations managers
  • Schedule and coordinate meetings and appointments
  • Track deadlines and collect schedules, reports, and forecasts from Division Managers
  • Order office and breakroom supplies
  • Distribute incoming mail and packages and send outgoing mail
  • Maintain the office and breakroom according to MasterCorp cleanliness standards

Requirements

  • Associate degree in a directly related field, or an equivalent combination of education and work experience
  • At least two years of related experience with increasing responsibility
  • Proficiency with Microsoft Office Suite or comparable software
  • Strong verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Effective time management with a demonstrated ability to meet deadlines
  • Strong supervisory and leadership capabilities
  • Ability to prioritize work and delegate tasks when appropriate
  • Ability to travel occasionally, averaging 5% per quarter
  • Ability to complete required physical activities, including standing, walking, pushing, pulling, moving, lifting up to 25 pounds, bending, reaching, occasional ascending and descending, and repetitive motions
