Call Center Specialist - Richmond, VA (Hybrid)

Serve as the first point of contact for patients and healthcare partners while scheduling pulmonary and sleep appointments. Manage referrals, records, demographic data, and electronic medical record workflows in a hybrid Richmond-based role.

Description

  • Handle all incoming practice calls.
  • Act as the primary contact for patients, families, referring providers and their teams, hospital personnel, and community members.
  • Respond promptly while delivering courteous, high-quality customer service.
  • Identify callers’ needs through active listening and targeted questions, then route or resolve requests appropriately.
  • Schedule pulmonary and sleep care appointments.
  • Collect and accurately record patient demographic information in Allscripts.
  • Book appointments in line with current scheduling policies.
  • Explain arrival times, required items, cancellation rules, and other relevant instructions.
  • Route patient questions and prescription refill requests through the EMR to the medical assistant or provider.
  • Give callers basic information, direction, and instructions.
  • Distribute consultation information and enter data in MD Coder.
  • Process online appointment requests.
  • Collect patient records from the Bon Secours and HCA hospital systems.
  • Support patient appointment changes and rescheduling.
  • Index incoming documents in the EMR when required.
  • Process the EMR output queue when required.
  • Help schedule new patient referrals received by fax or electronically.
  • Uphold Pulmonary Associates’ customer service standards.
  • Safeguard patient privacy and information security in accordance with HIPAA policies and procedures.
  • Complete additional duties assigned by a provider, supervisor, or member of Administration.

Requirements

  • High school diploma or equivalent.
  • Preferred: one year of experience in a call center or medical practice setting.
  • Ability to remain seated for extended periods, with occasional standing and walking.
  • Manual dexterity to operate a computer keyboard and office equipment.
  • Ability to view computer screens for extended periods.
  • Ability to manage occasional workload-related stress and physician or patient demands.
  • Compliance with HIPAA policies and procedures.
  • Ability to work a supervisor-assigned fixed shift.
