Workplace Operations Manager at Divar - Tehran Hybrid

Lead reliable workplace operations for Divar’s hybrid Tehran office. Oversee contractors, facilities, projects, budgets, automation, space utilization, and employee experience improvements.

Description

  • Keep workstations, meeting rooms, shared areas, and pantries fully prepared each day
  • Oversee food, hospitality, beverage, and daily pantry services
  • Manage cleaning, catering, and other workplace service contractors while monitoring delivery quality
  • Establish and maintain clear Workplace service standards
  • Control inventory and ensure timely availability of consumables and essential supplies
  • Create systems to log, prioritize, track, and resolve workplace requests and issues
  • Investigate recurring problems and implement durable improvements to processes, contractors, or service models
  • Coordinate workplace disruption responses through complete service recovery
  • Evaluate office usage, occupancy, space utilization, employee feedback, and operational data
  • Propose, test, implement, and measure improvements to layouts, furniture, meeting rooms, space usage, and service delivery
  • Develop outsourcing approaches and oversee contractors throughout their full lifecycle
  • Work with Procurement, Finance, and Legal on purchasing and contract administration
  • Lead workplace initiatives involving layout changes, refurbishments, redesigns, and relocations
  • Set project scope, schedules, budgets, ownership, and deliverables, and manage work through punch-list completion
  • Own the Workplace budget and report on operations, costs, contractors, projects, risks, and decisions
  • Apply digital tools, automation, and AI to analysis, request handling, reporting, cost management, knowledge management, vendor assessment, and manual-work reduction
  • Lower resource consumption and strengthen waste sorting and management
  • Coordinate with HR, IT, Finance, Procurement, Legal, building services, and infrastructure teams
  • Engage and oversee external HSE and technical specialists or consultants

Requirements

  • Professional experience in Workplace Management, Workplace Operations, Office Operations, or a related discipline
  • Experience operating a workplace with substantial scale and complexity
  • Ability to manage daily operations rigorously while maintaining detailed quality standards
  • Background managing contractors and outsourced workplace services
  • Experience delivering workplace-related projects
  • Ability to establish processes, standards, and systems for repeatable operations
  • Skill in converting ambiguous challenges into specific plans and deliverables
  • Ability to manage several workstreams and stakeholder groups at the same time
  • Data-oriented approach with experience using operational, cost, and employee experience metrics
  • Strong judgment and independence when making decisions in uncertain situations
  • Strong negotiation capability and a track record of productive relationships with contractors and internal teams
  • Consistent follow-through and ability to carry issues through to resolution
  • Current hands-on experience with digital tools, automation, and AI, applied to improve operational quality and efficiency
  • Experience creating or redesigning a Workplace operating model is desirable
  • Experience managing a multi-floor workplace or hot-desking and flexible seating environment is desirable
  • Experience leading major office relocations, fit-outs, or redesigns is desirable
  • Experience overseeing several specialized contractors concurrently is desirable
  • Experience developing outsourcing models and assessing vendors is desirable
  • Familiarity with capacity planning and space utilization analysis is desirable
