Subcontracts Administrator – Miami, Hybrid

Manage subcontract procurement, compliance, documentation, and mobilization for AtkinsRéalis engineering projects in a hybrid Miami role. Support project teams, audits, negotiations, and subcontractor coordination.

Description

  • Process purchase requests using approved standard subcontract agreements
  • Review service scopes, schedules, compensation structures, and documents uploaded to Conga Contract Lifecycle Management
  • Support subcontractor mobilization for successful project delivery
  • Coordinate subcontractor registration in the company database
  • Review certificates of insurance against prime contract requirements and company insurance terms
  • Coordinate HSE and ERA compliance approvals
  • Support negotiations of subcontract terms and conditions
  • Prepare and issue subcontracts within delegated procurement authority
  • Prepare subcontract documents and amendments while coordinating prime-contract flow-down requirements
  • Verify that subcontract terms and conditions are appropriate and compliant
  • Prepare reports and contractual correspondence for project managers and clients
  • Maintain accurate subcontract tracking records
  • Support subcontract closeout, file documentation, and record archiving
  • Retain reports and claims documentation for required retention periods
  • Support internal and external audits
  • Coordinate with subcontractors, program management, and procurement personnel
  • Complete additional assignments and duties as directed by the supervisor
  • Work with project managers, divisional managers, Legal, Finance, administrative staff, client representatives, subcontractors, and regulatory agency personnel

Requirements

  • Bachelor’s degree in Business Administration or a related field plus at least two years of relevant DOT procurement or federal contract administration experience, or an associate degree plus six years of relevant experience
  • Applicants without a degree must have eight years of relevant experience
  • NCMA certification or a comparable professional certification is preferred
  • Experience handling paper and electronic documentation
  • Working knowledge of subcontracting practices in the engineering and construction industry is preferred
  • Strong analytical and organizational capabilities
  • Ability to perform mathematical calculations and understand contract types and compensation methods
  • Ability to organize information and use computers and applicable software effectively
  • Ability to work with Oracle-based procurement systems and SharePoint
  • Ability to plan and prioritize tasks effectively
  • Ability to review contract documents, project plans, and progress reports
  • Effective communication skills and the ability to work under deadline pressure
