Grants and Contracts Administrator - Durham, NC Hybrid

Support Duke University engineering research by managing grant proposals, sponsored-project finances, compliance, subawards, and award closeout.

Description

  • Collaborate with faculty investigators and university stakeholders across the sponsored-research project lifecycle
  • Support the preparation and submission of grant and contract proposals
  • Help maintain compliance with sponsor and university requirements
  • Monitor project finances and advise on practices that support successful research outcomes
  • Manage sponsored-project portfolios across pre-award and post-award activities
  • Create proposal budgets and accompanying justifications
  • Assemble and review application materials, including biosketches, supporting documents, and sponsor forms
  • Review funding announcements and requests for proposals, communicating requirements, restrictions, and deadlines
  • Route proposals through university systems and coordinate approvals and institutional signatures
  • Advise faculty on budget updates and proposal changes
  • Track proposal progress and communicate compliance, protocol, and submission requirements to principal investigators
  • Review expenditures against sponsor guidelines, award restrictions, and university policies
  • Reconcile project accounts and assess monthly financial activity
  • Prepare financial reports and forecasts, and provide recommendations to faculty investigators
  • Investigate financial discrepancies and coordinate corrective actions
  • Apply federal regulations, sponsor requirements, and university policies to project administration
  • Review and process cost transfers and budget changes
  • Support effort-allocation administration
  • Maintain project records and supporting documentation
  • Coordinate subaward agreements and subrecipient monitoring activities
  • Facilitate award modifications, rebudgeting requests, and other project changes
  • Coordinate award closeout activities
  • Prepare reports and analyses for departmental leadership

Requirements

  • Bachelor's degree
  • Complete Duke's Research Administration Academy (RAA) certification within the required timeframe if not already certified
  • Ability to analyze data and draw conclusions
  • Ability to organize and prioritize multiple tasks and deadlines
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Access
  • Maintain the required Research Administration Academy (RAA) certification
  • Ability to learn and adjust to changing technologies, systems, and research-administration regulations
  • Ability to produce financial and analytical reports and present recommendations to stakeholders
  • Residence in a Duke University-approved state
  • Availability for periodic in-person team meetings, training, and departmental activities
  • At least three years of progressively responsible experience coordinating complex administrative, financial, or compliance processes
  • Experience administering grants and contracts in higher education, research, healthcare, or a similar setting
  • Experience managing a portfolio of complex sponsored projects
  • Knowledge of federal regulations governing sponsored research
  • Knowledge of grant and contract administration, budgeting, and financial reporting
  • Experience with research administration systems such as SPS, R3, or comparable platforms
  • Understanding of effort allocation, cost principles, and compliance requirements for federally funded awards
  • Knowledge of Duke University research administration policies, procedures, and processes
  • Ability to interpret sponsor guidance and clearly communicate requirements to faculty and research staff
