Executive Assistant to the CTO – IQM Quantum Computers, Finland (Hybrid)

Support IQM Quantum Computers’ CTO and technology leadership team in a hybrid Finland-based role. Coordinate calendars, travel, events, conferences, and administrative operations for a global quantum-computing company.

Description

  • Support IQM’s technology leadership team, with a primary focus on the CTO
  • Manage calendars across multiple time zones and coordinate meetings with internal and external stakeholders
  • Resolve scheduling conflicts independently
  • Arrange and manage international travel, including flights, hotels, and visas
  • Support events with more than 100 participants
  • Coordinate logistics for conferences, consortiums, and visits
  • Support executives participating in external events
  • Organize visits and meetings at IQM premises
  • Coordinate meetings and workshops, prepare agendas, and document follow-up actions
  • Maintain shared folders and related documentation
  • Assist with contract administration, expense reporting, and confidential initiatives
  • Coordinate the preparation, review, and approval of materials for technical conferences
  • Use AI and tools including Microsoft 365, Teams, Zoom, Jira, DocuSign, and Acubiz
  • Improve internal administrative processes as the company grows
  • Enable collaboration among teams, partners, and stakeholders worldwide

Requirements

  • At least approximately three years of experience in a comparable Executive Assistant role
  • Experience in technology companies, ideally within a global and growing organization
  • Experience managing calendars, scheduling meetings, and preparing agendas
  • Experience arranging travel and supporting large-scale events
  • Ability to adapt to a dynamic, fast-paced environment, make prompt decisions, and shift priorities when needed
  • Familiarity with Zoom, Teams, Slack, and Microsoft Office tools
  • Fluent English communication skills
  • Finnish or German language skills are considered an advantage
