Administrative Coordinator, Pediatrics

Provides administrative support to UAMS Pediatrics Primary Care and Clinical Informatics. Coordinates schedules, credentialing, purchasing, events, records, and daily office operations.

Description

  • Support the Department of Pediatrics’ Primary Care and Clinical Informatics sections with administrative tasks.
  • Coordinate office activities with the Office Manager and professional staff across multiple units.
  • Submit clinic changes to ACH to update physician schedules and maintain tracking spreadsheets.
  • Collect credentialing information for Primary Care and Clinical Informatics faculty.
  • Update faculty profiles for Primary Care and Clinical Informatics on the UAMS website.
  • Assist with travel arrangements, expense reimbursements, and general purchasing.
  • Maintain and track IT inventory.
  • Manage daily office operations, including mail, faxes, filing, copier readings, eFund reports, IT and maintenance tickets, workspace organization, and kitchen supplies.
  • Request departmental security access to software and shared drives and folders.
  • Escort candidates and students across campus.
  • Prepare conference rooms and coordinate meetings.
  • Carry out other duties as assigned.

Requirements

  • Required education and experience: a bachelor’s degree plus two years of general administrative office support, an associate’s degree plus four years, or a high school diploma or GED plus six years.
  • Work in an organized, detail-focused, and efficient manner.
  • Communicate effectively and build strong working relationships, both orally and in writing.
  • Solve problems and meet deadlines in a fast-paced environment.
  • Work independently and collaboratively as part of a team.
  • Handle sensitive company, financial, and personnel records with confidentiality and integrity.
  • Use Microsoft Office proficiently, especially Word, Excel, PowerPoint, Outlook, and calendar tools.
  • Visa sponsorship is unavailable.
  • Provide proof of legal authorization to work in the United States on the first day of employment.
  • Provide three professional references.
