Administrative Assistant, Tax Department — Encino Hybrid

Support Gursey | Schneider LLP’s Tax department in a full-time hybrid role based in Encino. Responsibilities include client onboarding, engagement letters, tax return preparation support, records management, and office administration.

Description

  • Coordinate new client onboarding and maintain accurate information in internal systems
  • Complete client setup forms and prepare engagement letters
  • Support the annual engagement letter cycle from preparation and distribution through tracking and follow-up
  • Assist with tax return processing and assemble electronic and physical deliverables
  • Sort, scan, distribute, and maintain incoming and outgoing correspondence
  • Handle calendaring, scheduling, certified mailings, DocuSign requests, faxing, and document preparation
  • Organize and maintain electronic and physical client files and records
  • Monitor outstanding administrative tasks and follow up with team members
  • Manage office supply inventory and coordinate replenishment orders
  • Provide administrative support to the Tax department and contribute to special projects
  • Oversee administrative functions that support smooth operations and positive client interactions

Requirements

  • At least 1–2 years of experience as an Executive Assistant or Administrative Assistant in a fast-paced professional services environment
  • Experience in accounting, financial services, or a law firm is highly desirable
  • Demonstrated strength in writing, editing, and proofreading
  • Excellent organizational and time management abilities
  • Strong computer proficiency
  • Proficiency with Microsoft Office, including Outlook, Excel, PowerPoint, and Word
