Administrative Assistant – Occupational Health Account Management

Provide administrative support for occupational health examinations, medical certificates, and health management systems at MDS Group, an insurance brokerage, benefits provider, and risk consultancy.

Description

  • Coordinate pre-employment, periodic, return-to-work, occupational risk change, and termination health examinations
  • Monitor deadlines for periodic examinations and legally required programs through spreadsheets, the SOC system, and alerts
  • Maintain client records in SOC by importing, reviewing, and consolidating spreadsheet data
  • Coordinate with accredited providers to arrange appointments, confirm attendance, and obtain digital medical records
  • Ensure Occupational Health Certificates (ASOs) are issued within established deadlines
  • Assist with coordinating technical visits for clients
  • Manage medical certificates and absence records from receipt and review through system registration
  • Coordinate with the occupational physician to guide clients and follow up on cases
  • Help prepare periodic client-company meetings, including agendas, reports, and supporting materials
  • Coordinate with internal teams to resolve open items for client companies
  • Handle other departmental duties assigned by management

Requirements

  • Completed high school education
  • Administrative experience, preferably in occupational health
  • Proficiency with Microsoft Office, particularly Excel
  • Clear and courteous written and verbal communication when assisting internal and external clients
  • Strong organization, accountability, and attention to detail
  • Familiarity with occupational health management platforms such as SOC is preferred
