Senior Executive Assistant, EQ Bank

Support senior leaders at EQ Bank by managing executive priorities, stakeholder relationships, communications, travel, and strategic initiatives. The role also includes mentoring Executive Assistants and improving Executive Office operations.

Description

  • Partner with senior executives in the Office of the Executive, providing trusted day-to-day support.
  • Coordinate executive priorities, stakeholders, communications, planning, travel, meetings, and strategic initiatives.
  • Report to the Manager, Executive Office & Board Liaison.
  • Manage competing priorities, stakeholder relationships, and operational needs on behalf of executives and the Executive Office.
  • Support Executive Assistants through onboarding, informal mentoring, guidance, and knowledge sharing.
  • Contribute to team initiatives, process improvements, onboarding, training, and change management.
  • Manage complex executive calendars and resolve scheduling conflicts.
  • Prepare executive correspondence, briefing notes, presentations, talking points, and other communications.
  • Monitor and triage executive correspondence.
  • Track executive priorities, commitments, strategic initiatives, and follow-up actions.
  • Coordinate meetings and events for executives, leaders, stakeholders, and special purposes.
  • Prepare and maintain confidential reports, presentations, correspondence, briefing materials, records, and digital filing systems.
  • Arrange domestic and international travel and reconcile executive expenses.
  • Promote the use of Microsoft 365, automation, AI-enabled tools, and approved digital solutions.
  • Identify and implement improvements to processes, workflows, templates, and service delivery.
  • Assess and address urgent, sensitive, high-risk, or governance-related matters, escalating them when needed.
  • Provide administrative and logistical support, research, analysis, and information gathering for executive decisions.

Requirements

  • Bring 5–8 years of progressive experience supporting senior executives, executive leadership teams, or C-suite leaders in a complex corporate setting; financial services or another regulated industry is preferred.
  • Have experience supporting executive leadership team members, C-suite executives, or equivalent senior leaders.
  • Use sound judgment and work independently while keeping the executive and manager informed about changes, risks, and sensitive matters.
  • Demonstrate strong organization, planning, prioritization, and follow-through.
  • Communicate effectively in writing and verbally, including drafting polished executive-level correspondence.
  • Maintain high standards for detail, accuracy, and quality.
  • Anticipate needs, assess urgency, and respond effectively as priorities change.
  • Build trusted relationships with senior leaders, colleagues, external stakeholders, and administrative professionals.
  • Use Microsoft Outlook, Word, PowerPoint, Teams, and SharePoint at an advanced level.
  • Have working proficiency in Excel and Concur.
  • Show interest in technology, automation, and approved AI-enabled tools.
  • Handle highly sensitive and confidential information with discretion, integrity, and professionalism.
  • Bring business acumen and an understanding of executive operations, organizational priorities, and corporate governance.
  • Build credibility and influence with senior leaders and stakeholders.
  • Collaborate in a team-based executive support model, including providing and receiving coverage.
  • Interact inclusively, respectfully, and professionally.
  • Successfully complete a criminal background check and credit check if selected for hire.
