Revenue Events Coordinator - Hybrid

Coordinate conferences, summits, awards, and client events for The Globe and Mail. Oversee logistics, speakers, sponsors, attendees, onsite delivery, and post-event reporting.

Description

  • Plan and help deliver in-person, virtual, and hybrid events.
  • Keep project plans, timelines, production schedules, and deliverables up to date.
  • Oversee venues, catering, audiovisual needs, signage, transportation, accommodations, and suppliers.
  • Coordinate speaker and program logistics, including communications, briefing materials, schedules, agendas, and briefing calls.
  • Administer attendee registration and event platforms.
  • Monitor registrations and attendance while handling attendee questions.
  • Assist VIP guests and arrange special accommodations.
  • Track sponsorship commitments and client deliverables.
  • Manage branding assets and materials, including sponsor activations and onsite requirements.
  • Coordinate vendors and maintain complete event documentation.
  • Monitor budgets, reconcile invoices, and follow health and safety requirements.
  • Support onsite registration, attendee movement, event-day operations, and real-time issue resolution.
  • Work with Event Specialists, Sales, Marketing, Finance, and other internal stakeholders.
  • Prepare post-event reports, surveys, and analytics.
  • Maintain accurate event records and databases covering attendance, engagement, and sponsor performance.
  • Recommend improvements to event processes, attendee experiences, and operational efficiency.

Requirements

  • Bachelor’s degree or equivalent experience in event management, hospitality, marketing, communications, or a related discipline.
  • One to three years of experience in event planning, conference production, hospitality, project coordination, or a comparable setting.
  • Demonstrated ability in event planning, project coordination, and organization.
  • Ability to manage several projects and competing priorities at once.
  • Meticulous attention to detail.
  • Effective time management and prioritization skills.
  • Excellent written, verbal, and interpersonal communication.
  • Strong customer service and stakeholder management abilities.
  • Ability to work productively with internal teams, vendors, sponsors, speakers, clients, and attendees.
  • Experience coordinating vendors and suppliers.
  • Background supporting event logistics and operational needs.
  • Strong judgment, problem-solving ability, and adaptability.
  • Ability to adjust to changing priorities and resolve issues in a fast-moving event setting.
  • Experience tracking budgets, reconciling invoices, and handling event administration.
  • Proficiency with Microsoft 365.
  • Availability for flexible schedules, including occasional evenings, early mornings, and event days.
  • Willingness to travel to event venues as needed.
