Community Specialist at HOALiving

Support homeowners, boards, vendors, and Community Managers across HOALiving’s HOA communities. Manage records, communications, work orders, and community operations in Draper, Utah.

Description

  • Handle homeowner questions and requests through phone, email, action items, and other communication channels
  • Keep homeowner account notes and community records accurate and current
  • Prepare, issue, and monitor violation notices in Vantaca
  • Review, organize, and help coordinate architectural applications
  • Prepare and distribute newsletters and other community updates
  • Create and monitor maintenance work orders in Vantaca
  • Provide backup coverage for the Customer Service phone queue when needed
  • Help Community Managers handle the daily needs of their assigned communities
  • Attend association meetings periodically as requested
  • Monitor insurance renewals, bids, and related details in Vantaca
  • Organize bids, contracts, and other community documentation
  • Coordinate special mailings and community-wide communications
  • Assist with vendor coordination and follow-up
  • Help administer entry systems, including pool fobs and gate access
  • Manage amenity reservations for assigned communities when applicable
  • Complete scheduled community standards tours with Community Managers
  • Maintain accurate electronic files and records
  • Collaborate with Community Managers and teammates to support homeowners, board members, vendors, and managed communities

Requirements

  • Experience in customer service, administration, hospitality, property management, real estate, retail, or another service-focused setting is welcome
  • HOA or community association management experience is helpful but not required
  • Communicate clearly and effectively in writing and conversation
  • Deliver strong customer service and build positive working relationships
  • Stay organized, detail-focused, and effective when handling competing priorities
  • Apply sound judgment, solve problems, and work resourcefully
  • Maintain precise homeowner records and correspondence
  • Work comfortably with spreadsheets, databases, email, and document-management tools
  • Use Microsoft Outlook, Word, Excel, and Teams proficiently
  • Learn and use industry platforms such as Vantaca
  • Type at least 45 words per minute
  • Collaborate effectively and follow direction from multiple team members
  • Demonstrate honesty, respect, and a strong work ethic
  • Approach work with a customer-first perspective
  • Take ownership and follow through on commitments
  • Remain flexible and adaptable as needs change
  • Maintain a positive, professional demeanor
