- Process and code high volumes of vendor invoices.
- Match invoices against purchase orders and receiving records, resolving discrepancies.
- Assign invoices to the appropriate general ledger accounts, jobs, and cost categories.
- Prepare and run payments by check, ACH, and card.
- Apply payment terms, discounts, and approval rules.
- Reconcile vendor statements and investigate overdue or unmatched items.
- Address vendor disputes, credits, and short payments.
- Record accounts payable accruals and reconcile the AP subledger with the general ledger.
- Prepare and maintain reports on aging, cash needs, and vendor spending.
- Escalate trends and exceptions to the AP Manager and accounting leaders.
- Spot bottlenecks and recurring errors, and help improve workflows through automation.
- Maintain vendor records and gather and verify W-9 forms.
- Assist with 1099 preparation and apply sales and use tax treatment accurately.
- Respond to internal review and external audit requests.
- Coordinate with managers, purchasing, and shop teams to gather missing approvals, packing slips, and purchase order details.
- Reconcile corporate card accounts covering more than 50 cards and over $100,000 in monthly spending.
- Investigate card discrepancies, disputed charges, and unapplied vendor credits with vendors and issuing banks.

- Must be based in Texas.
- 3–5 years of full-cycle accounts payable experience handling high transaction volumes.
- Practical experience with purchase order invoicing and three-way matching.
- Experience reconciling vendor statements and the AP subledger to the general ledger.
- Working knowledge of an ERP or accounting system, such as NetSuite, and ability to learn new systems.
- Strong Excel skills, including lookups, pivot tables, and reconciliation of large data sets.
- Familiarity with W-9 collection and 1099 reporting.
- Careful attention to detail and a consistent habit of reviewing your work.
- Takes ownership by seeing problems through and proposing solutions.
- Clear, professional communication with vendors and internal colleagues.
- Ability to protect confidential financial and vendor information.
- Self-directed and dependable when working remotely, with reliable availability during business hours.
- Experience with sales and use tax across multiple jurisdictions.
- Experience with payables across multiple entities or locations.
- Experience using AP automation or invoice capture software.
- An associate or bachelor’s degree in accounting, finance, or a related field is a plus.
