Executive Coordinator, Duke Global Health Institute (Onsite)

Support leadership at the Duke Global Health Institute through executive coordination across research, communications, grants, philanthropy, scheduling, and university partnerships.

Description

  • Support the Duke Global Health Institute Director across operational planning, scientific priorities, communications, philanthropy, research, and institutional vision
  • Prepare internal and external communications for institute stakeholders
  • Organize and participate in faculty meetings to establish program and center objectives
  • Help DGHI Administrative and Development teams identify internal and external resources
  • Provide the Director and constituents with context, background materials, and draft briefs
  • Build and sustain effective relationships with staff, faculty, institute leaders, and university leadership
  • Assess the Director’s priorities and represent the Director when appropriate
  • Act as liaison to external educational and professional organizations and agencies
  • Arrange special programs and speaker series
  • Support grant proposals and applications through data gathering and budget preparation
  • Track and validate expenditures while ensuring compliance with university and sponsor policies
  • Compile administrative reports for sponsoring agencies
  • Develop and interpret program protocols, procedures, and operating policies
  • Contribute to the development of academic course content
  • Prepare scientific publications, biosketches, research proposal materials, and presentation decks
  • Produce operational reports and analyses that include recommendations or conclusions
  • Serve as the departmental contact for university policies, grant administration, and budget planning and control
  • Supervise and coordinate assigned employees
  • Help the Director plan schedules, professional activities, and research agendas

Requirements

  • Business background generally equivalent to a bachelor’s degree in a business-related discipline
  • At least two years of related business or administrative experience
  • Working knowledge of personnel practices, accounting and budgeting principles, and major office coordination
  • A master’s degree in a business-related field may replace the two-year experience requirement
  • An equivalent combination of relevant education and experience may be considered
  • Willingness and ability to travel with the Director for external events
  • Ability to represent and speak on behalf of the Director
  • Ability to supervise and coordinate assigned employees
  • Ability to produce grant proposals, budgets, reports, scientific publications, biosketches, research proposal materials, and presentation decks
  • Ability to interpret and develop program protocols, procedures, and operating policies
  • Ability to develop content for academic courses
