Documentation Executive - Import/Export Shipping

Documentation Executive responsible for import and export cargo documentation, customs coordination, manifests, invoicing, and shipment releases for Pacific International Lines in São Paulo. The role works with ports, terminals, freight partners, and internal teams to support accurate and timely cargo processing.

Description

  • Coordinate the movement of import and export cargo while supporting customer satisfaction
  • Respond promptly to customer inquiries
  • Provide Customs and terminal information, paperwork, and electronic data to relevant locations
  • Support shipping documentation and issue documents accurately and on schedule
  • Manage documentation for import and export processes and follow up on port and customs activities
  • Transmit manifests, corrections, retransmissions, and cargo releases
  • Coordinate with ports, warehouses, shipping lines, freight forwarders, customs, and shared service centers
  • Complete shipping documents accurately and on time to enable customer release
  • Work with internal stakeholders and Shared Services Centers to release documents, reduce errors, and improve productivity
  • Submit Customs references by the required deadlines and collect information before cut-off times
  • Ensure charges are invoiced promptly and established invoicing procedures are followed
  • Close vessels and finalize manifests
  • Keep current with import and export customs requirements and maintain compliance
  • Track exceptions and ensure back-office queries receive timely responses
  • Monitor outstanding revenue and coordinate accurate, timely shipment invoicing
  • Process shipment-related exceptions in LMS

Requirements

  • Bachelor’s degree in International Business, Logistics, or a related discipline
  • Customer service experience in the shipping or logistics sector
  • Practical experience with sea freight documentation
  • Knowledge of Ecuadorian customs laws and regulations
  • Experience using documentation processing software
  • Proficiency preparing all types of Bills of Lading, including MBL and HBL
  • Experience checking cargo and shipment information for accuracy
  • Intermediate spoken English and strong technical written English
  • Availability for operational and logistics schedules
  • Knowledge of maritime and air import and export operations
  • Understanding of Incoterms and import/export documentation
  • Strong organization and ability to follow procedures in a strictly regulated environment
  • Effective communication, negotiation, and interpersonal skills
  • Collaborative team spirit and adaptability
  • Proficiency with Microsoft Office
  • Customer-focused approach with excellent communication skills
  • Ability to manage multiple tasks in high-pressure situations
  • Familiarity with shipping and logistics software
  • Proactive, solution-oriented working style
  • Collaborative approach to teamwork
  • Brazilian nationality or current legal authorization to work in Brazil
