Remote Bookkeeper (Brazil)

Manage bookkeeping, billing, and collections for an IT services business, including QuickBooks transactions, Microsoft licensing invoices, HubSpot quotes, and sales tax filings across multiple states. Support contract billing and customer accounts in a remote, full-time role.

  • Enter bills and record finance inbox deposits twice a week.
  • Sync and code bank feed transactions weekly.
  • Record payroll in the correct month.
  • Reconcile bank accounts and support the monthly review.
  • Prepare accounts payable payment runs for approval and process approved payments through QuickBooks Bill Pay.
  • Follow up on invoices more than 45 days overdue and maintain an accounts receivable tracking sheet.
  • Convert subcontractor timesheet data into invoices.
  • Process monthly partner commission payments.
  • Invoice consulting services at the start of each month for the prior month.
  • Prepare and send about 30 monthly Microsoft licensing and services invoices in Work 365.
  • Accurately handle high-value billing.
  • Maintain contracts throughout the month.
  • Create quotes for Microsoft products and services in HubSpot.
  • Apply knowledge of Microsoft contracts to quoting, contract management, and invoicing.
  • File monthly or quarterly sales tax returns in four to five states.
  • Submit project claims through the Microsoft Partner Portal after ramp-up.
  • Clean and maintain the CRM.
  • Assist with sending, collecting, and reporting customer satisfaction surveys.

Талаптар

  • At least three years of hands-on bookkeeping experience, including complete month-end cycles and bank reconciliations.
  • Strong QuickBooks skills; QuickBooks Desktop experience is a plus.
  • Experience with accounts payable, accounts receivable, and collections follow-up.
  • Familiarity with U.S. sales tax filings, ideally across multiple states.
  • Careful attention to detail, particularly when handling high-value invoices.
  • Professional written and spoken English for customer and vendor discussions about billing, payments, and quotes.
  • Willingness and ability to learn new systems.
  • Experience with Work 365, HubSpot, Microsoft licensing (CSP/EA), or another IT or SaaS billing environment is a plus; training will be provided.
  • A history of remaining in roles long term.
