Remote Accounts Payable Specialist – Paleovalley

Manage invoice processing, reconciliations, approvals, and month-end close for Paleovalley and Wild Pastures. Help maintain accurate, controlled accounts payable operations across regenerative food businesses.

Description

  • Process vendor bills accurately and on schedule in Acumatica across multiple entities
  • Match vendor invoices with purchase orders and receipts through three-way verification
  • Resolve pricing, quantity, receiving, and related discrepancies with Supply Chain, Operations, and vendors
  • Oversee AP approval workflows, Acumatica Incoming Documents, and shared accounts payable inboxes
  • Code non-PO invoices and expenses to the correct entity, general ledger account, warehouse, and dimensions
  • Allocate landed costs such as freight, processing fees, discounts, and taxes to purchase order receipts
  • Reconcile the AP subledger with the general ledger, vendor statements, purchase accruals, landed cost clearing accounts, and work-in-progress balances
  • Prepare AP accruals, aging reports, reconciliations, and supporting schedules for month-end close
  • Keep vendor records current, including W-9 forms and banking details, while following established controls
  • Respond to invoice, payment, and account inquiries from vendors and internal stakeholders
  • Assist with annual 1099 reporting, sales and use tax reviews, audit requests, and other AP compliance work
  • Recommend improvements to accounts payable processes, controls, and operating efficiency

Requirements

  • Candidates must live and work in Arkansas, Arizona, California, Colorado, Florida, Georgia, Idaho, Illinois, Louisiana, Maryland, Missouri, North Carolina, New Jersey, Nevada, New York, Ohio, Texas, Virginia, Washington, Wisconsin, or Wyoming
  • Authorization to work in the United States is required
  • Four to six years of hands-on, full-cycle accounts payable experience
  • Experience in manufacturing, CPG, distribution, or another inventory-intensive environment is preferred
  • Practical experience with Acumatica or another enterprise ERP, including purchasing, inventory, and accounts payable modules
  • Proven ability to perform three-way matching, allocate landed costs, and resolve invoice, purchase order, and receiving discrepancies
  • Strong reconciliation experience covering the AP subledger-to-GL, vendor statements, purchase accruals, and related clearing or work-in-progress accounts
  • Working knowledge of accrual accounting and the accounts payable month-end close
  • Intermediate Excel proficiency, including PivotTables and formulas such as VLOOKUP and SUMIFS
  • Exceptional attention to detail, organization, and follow-through when managing high transaction volumes and competing deadlines
  • Clear written and verbal communication skills, with the ability to work independently with vendors and cross-functional partners
  • An associate degree or higher in Accounting, Business, or a related field is a bonus
  • Experience with 1099 reporting, sales and use tax reviews, or financial audits is a bonus
