Office Coordinator - School-Based Health Center (Onsite)

Coordinate student appointments, health records, referrals, and patient flow for medical and behavioral health services at Lynn Community Health Center’s school-based clinic.

Description

  • Support the School-Based Health Center’s routine daily operations and activities
  • Coordinate students’ medical and mental health care with behavioral health clinicians and medical providers
  • Schedule medical, behavioral health, and psychopharmacology appointments
  • Organize and maintain patient registration, parental consent, encounter, provider note, and other record-keeping systems
  • Update insurance coverage, demographic details, and patient records during each encounter
  • Complete behavioral health referrals and related communications
  • Coordinate and organize student flow into and out of the School-Based Health Center
  • Answer phones and facilitate communication among the health center, students, school staff, nurses, parents, and School-Based Health Center personnel
  • Monitor patient flow while maintaining order and discipline
  • Order and replenish office supplies
  • Communicate relevant patient observations to providers and escalate urgent assessment needs
  • Follow up with students about missed appointments, lab tests, referrals, insurance information, reminders, and related needs
  • Perform word processing and data entry, and prepare DPH, LCHC, and School-Based Health Center reports
  • Engage with students to build confidence and trust in available services
  • Transport lab samples and interoffice or external mail between the School-Based Health Center and LCHC
  • Update and prepare School-Based Health Center forms and notices
  • Help uninsured students with enrollment referrals
  • Provide interpreter services when certified and requested
  • Support Office Coordinators at other sites and provide assigned coverage, including remote coverage when needed
  • Register patients in EPIC or another electronic system
  • Process confidential care applications in accordance with LCHC policy
  • Attend required training sessions and monthly meetings

Requirements

  • Demonstrated history of satisfactory attendance and a positive work attitude
  • Experience working with adolescents or children, especially the age group served by the individual school
  • Experience in a healthcare or mental health setting is preferred
  • Familiarity with medical records and medical terminology is preferred
  • Computer and typing proficiency
  • Experience using Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint
  • Knowledge of third-party billing and insurance reimbursement
  • Ability to work effectively in a fast-paced, multitasking environment
  • Flexibility and strong communication skills when working with multiple disciplines, professionals, students, and parents
  • Excellent organizational and interpersonal skills
  • Ability to work independently, stay self-motivated and detail-oriented, and be assertive when necessary
  • Current immunizations and annual TB testing are required
  • Acceptable CORI results under health center standards
  • Personal transportation is required to transport lab specimens, vaccinations, mail, and supplies
  • Ability to maintain patient confidentiality
  • Attendance at mandatory monthly training meetings is required
  • Interpreter certification applies when providing interpreter services
