Remote Administrative Assistant, Insurance Operations

Support Veracity Insurance Solutions’ billing, policy processing, renewals, and account administration remotely. This role prepares insurance documents, maintains records, coordinates schedules, and helps improve operational workflows.

Description

  • Support Account Managers, Brokers, and departmental operations with a broad range of administrative tasks
  • Prepare, process, and distribute quotes, finance agreements, Accord applications, bind requests, invoices, and state affidavits
  • Review policies, coordinate renewals, request loss runs, and verify complete and accurate documentation
  • Enter and maintain transaction records in AMS and other Veracity systems
  • Provide assistance during internal and external audits
  • Arrange meetings, maintain calendars, and schedule appointments
  • Help Sales and other departments with service requests, projects, and cross-functional communications
  • Create and update reports, presentations, and internal documents
  • Monitor shared inboxes, provide phone coverage, handle mail, and support general office needs
  • Track deadlines for renewals, compliance submissions, and project deliverables
  • Maintain organized digital and physical filing systems
  • Help onboard and train new administrative team members
  • Suggest and support improvements to administrative processes
  • Assist with event and meeting coordination
  • Handle all interactions with discretion, professionalism, and strong customer service
  • Complete additional duties assigned by management

Requirements

  • High school diploma is required
  • At least two years of surplus lines or insurance experience is preferred, or a valid Property & Casualty license with at least one year of related administrative or customer service experience
  • Prior administration or accounting experience is preferred
  • Working proficiency in Microsoft Word, Excel, and Outlook is preferred
  • Ability to obtain and maintain a Property & Casualty insurance license
  • Professional presence with strong interpersonal and customer service skills
  • Comfort using computer systems, email platforms, and document management tools
  • Consistent, reliable, and punctual attendance
  • Dependable and accountable approach to completing assigned work
  • Ability to protect confidential information and maintain professional standards
