Practice Operations Manager, Quincy Urgent Care

Manage operations for Beth Israel Deaconess’s Quincy urgent care and specialty clinics. Oversee staff, workflows, budgets, compliance, patient access, and performance metrics.

Description

  • Manage operations for the Quincy Care Center’s Advanced Urgent Care and Medical/Surgical Specialties Clinic
  • Direct daily operations, management, and program development across urgent care and medical specialties
  • Oversee facility operations, resource allocation, system integration, quality, and efficiency
  • Execute approved business plans and monitor their expected results
  • Support interviewing, hiring, onboarding, and employee record maintenance
  • Supervise program and non-clinical employees and create staffing schedules
  • Design daily workflows that balance patient outcomes, provider needs, visit volume, and departmental coordination
  • Lead projects and operational initiatives to meet budget objectives
  • Oversee reception, check-in, scheduling, referrals, co-pay collection, billing, and revenue cycle functions
  • Support onboarding and marketing efforts for new providers
  • Manage performance and conduct concerns and assist with employee improvement plans
  • Promote effective communication among employees, patients, the public, and network affiliates
  • Organize multidisciplinary meetings, including agendas and minutes
  • Travel periodically for outreach, marketing, and affiliated off-site clinics
  • Coordinate programs with Radiology, Laboratory, Inpatient Nursing, Surgical Services, Rehab, Patient Accounts, Information Technology, and Medical Records
  • Partner with directors and medical leaders on physician alignment, workflow enhancement, marketing, and strategic outreach
  • Maintain regulatory compliance and implement updated regulations and requirements
  • Serve on hospital-wide committees
  • Prepare and manage program budgets while tracking urgent care volume, referral sources, and dashboard measures
  • Work with Public Relations to promote initiatives supporting Quincy Care Center volume projections

Requirements

  • A related bachelor’s degree is preferred, or equivalent healthcare experience
  • A master’s degree in healthcare is preferred
  • One to two years of practice management experience in a medical office or ambulatory setting
  • One to two years of supervisory experience
  • Current CPR certification
  • Working proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Familiarity with healthcare scheduling and billing systems
  • Service-excellence skills, including active listening and problem resolution
  • Ability to stay composed in emotionally demanding or stressful situations
  • Strong organizational skills and attention to detail
  • Ability to manage competing priorities and work independently
  • Professional written and verbal communication skills
  • Proactive, adaptable, and flexible when working with diverse individuals
  • Understanding of and adherence to universal infection-control precautions
  • Ability to follow safety laws, regulations, and hospital policies and procedures
