Onsite Laboratory Administrative Assistant

Support Carle Health laboratory operations across billing, patient registration, transcription, pathology coordination, and customer service. The role also manages physician schedules, coding workflows, administrative systems, and staff training.

Description

  • Prepare charge documents and support ICD/CPT coding for laboratory and anatomic pathology charges
  • Process billing reports and queues to maintain accurate claim-filing information
  • Escalate coding and billing concerns to management
  • Register patients and enter or transcribe orders in computer systems
  • Release results in accordance with established protocols
  • Scan documents into the electronic medical record
  • Transcribe and edit radiologist and pathologist dictation
  • Package and track pathology send-out requests
  • Provide staff guidance and resolve customer service concerns
  • Resolve issues involving specimen collection, turnaround times, incorrect results, medical record numbers, and billing corrections
  • Manage customer complaints and coordinate resolutions with other departments
  • Dispatch pathologists when required
  • Respond to and follow up on telephone, in-person, and written inquiries
  • Welcome and direct visitors and callers
  • Prepare mailings, distribute faxes, and scan and file records
  • Use office and videoconferencing equipment
  • Provide administrative support to the laboratory medical director
  • Maintain schedules and prioritize email communications
  • Manage physician report cards and Epic administrative in-baskets
  • Coordinate pathologist schedules
  • Verify CPT codes and ICD coding on final pathology reports to support accurate billing
  • Train physicians, locums, supervisors, managers, and physician assistants on Dragon, billing, laboratory orientation, and Softpath
  • Complete daily assignments while supporting teamwork and effective communication
  • Assist with audits and operational reviews
  • Attend meetings and contribute relevant input
  • Participate in annual policy and procedure reviews

Requirements

  • High school diploma or GED
  • Work experience in a related field
  • Knowledge of medical terminology
  • Understanding of hospital-based and professional billing, registration, and insurance procedures
  • Knowledge of ICD and CPT coding
  • Experience transcribing pathology and radiology dictation
  • Proficiency with computer information systems
  • Basic to intermediate proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
  • Ability to assess and resolve complex or moderately complex issues
  • Ability to create complete, accurate documentation and follow through on tasks
  • Professional communication skills for in-person and telephone interactions
  • Ability to use fax machines, copiers, scanners, telephone systems, and videoconferencing equipment
  • Compliance with applicable work authorization requirements; Carle Health participates in E-Verify
