The organization supports more than 300 youth each year and focuses on strengthening well-being through personalized guidance and community engagement.

Finance Officer - Friends of Ruby (Hybrid, Canada)

Lead accounting operations, reconciliations, reporting, and compliance for Friends of Ruby’s 2SLGBTQIA+ youth programs and housing services.

Description

  • Own the complete accounts payable and receivable cycle, from invoice review and coding through approvals, payments, discrepancy resolution, and vendor or funder inquiries.
  • Complete and review monthly bank, credit card, and balance sheet reconciliations.
  • Develop month-end and year-end working papers, accruals, and supporting schedules.
  • Create and maintain expense tracking tools and financial schedules.
  • Review corporate credit card activity to confirm compliance with organizational policies.
  • Produce variance analyses and concise financial summaries for decision-making.
  • Compile reconciled financial data, schedules, and analysis for budget-to-actual, funder, and other organizational reporting.
  • Investigate trends, risks, and anomalies requiring follow-up.
  • Protect the accuracy and completeness of financial records and documentation.
  • Coordinate documentation requests for audits, funders, and CRA compliance.
  • Keep financial files and processes prepared for audit review.
  • Assist with administration of QuickBooks, Dext, ApprovalMax, Plooto, and Microsoft 365.
  • Train staff and improve workflows to strengthen efficiency and accountability.

Requirements

  • Diploma in finance, accounting, business, or a related discipline, or equivalent professional experience; a degree is an asset.
  • Three to five years of progressive experience in accounting, finance, or related financial operations.
  • Hands-on experience overseeing the full transaction cycle and month-end close activities.
  • Background in reconciliations, payment processing, expense tracking, and financial reporting.
  • Not-for-profit experience and knowledge of not-for-profit accounting and CRA charitable compliance are assets.
  • Proficiency with Microsoft 365 and QuickBooks or comparable accounting software.
  • Experience using financial workflow platforms such as Dext, ApprovalMax, and Plooto is preferred.
  • Demonstrated commitment to advancing diversity, equity, inclusion, and accessibility in the workplace.
  • Successful completion of a Vulnerable Sector Police Check.
  • Legal authorization to work in Canada.
