Personal Assistant, ITV Studios

Support five senior ITV Studios executives with scheduling, travel, meetings and financial administration. Help the international television and streaming business run smoothly.

  • Manage complex, changing diaries for five senior executives working across international time zones.
  • Build trusted relationships with executives, learn their priorities and anticipate their needs.
  • Resolve scheduling conflicts and protect executives’ time.
  • Handle confidential information discreetly and professionally.
  • Coordinate meeting requests and routine administrative work.
  • Arrange UK and international travel, including transport, accommodation, schedules, documentation, dining reservations and contingency plans.
  • Administer executive expenses, purchase orders and invoices.
  • Schedule internal and external meetings across international time zones.
  • Organise meeting logistics, including rooms, refreshments, agendas and presentation materials.
  • Create presentations using Google Workspace and existing templates.
  • Attend meetings, take accurate minutes, and share notes and recordings.
  • Assist with internal communications, presentations and departmental updates.
  • Organise conferences and events, coordinating speakers, restaurant bookings and related logistics.
  • Maintain filing systems and documentation in Google Drive.
  • Develop working relationships with PAs and stakeholders across ITV Studios and internationally.
  • Provide support to the wider International Studios team as needed.

  • Substantial experience as a personal assistant to senior executives in a fast-paced organisation.
  • Experience supporting several senior stakeholders and balancing competing priorities.
  • Demonstrated ability to coordinate complex international travel.
  • Strong financial administration skills, including expenses, purchase orders and invoice management.
  • Advanced skills with Mac and Google Workspace tools, including Gmail, Calendar, Docs, Sheets and Slides.
  • Experience in an international setting, including arranging meetings across time zones, is desirable.
  • Background in broadcasting, television or the broader media industry is desirable.
  • Experience using Gemini or other AI tools to handle routine tasks and improve efficiency is desirable.
  • Excellent organisation and close attention to detail.
  • Sound judgement and the ability to prioritise competing demands.
  • Discretion when handling confidential information.
  • Availability for occasional early mornings, evenings or work outside standard hours may be required.
