Outpatient Clinic Coordinator – Per Diem

Support patient administration and clinic operations for Hebrew SeniorLife’s geriatric outpatient practices, including scheduling, records, billing, insurance verification, and supply management.

Description

  • Welcome patients as they arrive at the outpatient clinic
  • Provide information and communication support to patients by phone and in person
  • Deliver courteous, responsive service to patients, families, clinicians, and colleagues
  • Safeguard patient confidentiality through professional staff communication aligned with HIPAA standards
  • Schedule appointments, greet patients, and capture or update demographic information in practice management systems
  • Verify patient insurance during visits
  • Coordinate with the practice nurse to support patient triage
  • Maintain patient charts in the electronic medical records system
  • Scan consultant notes, test results, and follow-up documentation into charts when records are unavailable
  • Open incoming mail each day and route it to the appropriate provider
  • Build effective working relationships with departments and individuals that support outpatient clinic operations
  • Follow established policies, procedures, and objectives
  • Complete assigned special projects
  • Demonstrate professionalism and uphold values that support Hebrew SeniorLife’s mission
  • Order clinical and non-clinical practice supplies
  • Process billing encounter forms and help resolve billing denials when appropriate
  • Take an active role in process improvement

Requirements

  • Two to three years of medical office experience is required
  • Previous experience in geriatric care is preferred
  • Medical assisting experience is an advantage
  • Professional, proactive, collaborative, conscientious, and results-oriented approach
  • Strong organizational skills
  • Motivation to learn and adaptability to change
  • Computer literacy
  • Proficiency with Windows
  • Practice management systems experience is desirable
  • Ability to move throughout the facility
  • Ability to occasionally move items weighing up to 20 pounds
  • Ability to push an occupied wheelchair
