Operations Administrative Assistant

Provide administrative support for freight, payments, and operational controls at Ipiranga, a Brazilian mobility company. Update systems, support audits, and assist with month-end closing.

Description

  • Support administrative processes for freight, detention charges, and other transportation expenses.
  • Review and correct payment documents, data, and amounts.
  • Enter, update, and retrieve departmental information in relevant systems.
  • Track pending items and help resolve discrepancies with internal teams and carriers.
  • Maintain spreadsheets, operational controls, and departmental KPIs.
  • Organize records and supporting documents for internal controls and audits.
  • Assist with month-end closing.
  • Route requests from partner departments and suppliers to the appropriate teams.
  • Help the department meet its deadlines and follow established procedures.

Requirements

  • Completed or ongoing bachelor’s degree in Logistics, Business Administration, Accounting, or a related field.
  • Intermediate proficiency with Microsoft Office, especially Excel.
  • Ability to organize and manage information.
  • Strong spoken and written communication skills.
  • Availability to handle operational routines, deadlines, and a high volume of requests.
  • Previous experience in administrative, finance, logistics, transportation, or related work.
  • Knowledge of freight, detention charges, transportation documentation, or expense reporting.
  • Intermediate Excel proficiency.
  • Familiarity with integrated management systems; SAP is preferred.
  • Strong organization, attention to detail, and ability to manage records and deadlines.
  • Strong communication and interpersonal skills for working with internal teams and suppliers.
