AI Automation Specialist - Philippines Remote

Description

  • Assess current business processes to uncover automation and efficiency gains
  • Create and support automations spanning the company’s business systems
  • Connect Xero, Microsoft 365, SharePoint, GoHighLevel, Dext, HazardCo, and Todoist
  • Automate tendering, project administration, forecasting, contracts, procurement, invoicing, progress claims, timesheets, reporting, document management, workflows, and notifications
  • Apply AI tools to streamline work, reduce manual effort, and inform decisions
  • Link platforms together to maintain accurate, dependable information flow
  • Design workflows that minimise duplicate handling, data entry, and repetitive administration
  • Evaluate and refine existing automations to improve reliability and results
  • Resolve system issues and adapt solutions as business needs evolve
  • Maintain clear records of systems, workflows, and automations
  • Develop process guides and documentation for the broader team
  • Train office staff to use new systems and automated workflows
  • Track system performance and identify additional opportunities for improvement
  • Partner with the business owner to convert operational problems into technical solutions
  • Learn the business, locate inefficiencies, and establish the initial automation framework
  • Take responsibility for ongoing management, maintenance, optimisation, troubleshooting, and development of the automation environment

Requirements

  • Based in the Philippines
  • Experience supporting construction companies and working with their project management software and systems
  • Demonstrated hands-on experience designing and implementing business automations
  • Strong experience integrating Xero with other systems and workflows
  • Strong working knowledge of Microsoft 365 and SharePoint
  • Practical experience applying AI tools to real business processes
  • Experience with APIs, integrations, automation platforms, and workflow tools
  • Able to analyse existing processes and identify where technology can eliminate manual work
  • Strong problem-solving and troubleshooting capability
  • Able to explain and document technical processes clearly for non-technical users
  • Experience training teams and helping them adopt new systems
  • High attention to detail and a sound understanding of dependable system integration
  • Experience with GoHighLevel, Dext, or Todoist is desirable
  • Background in construction, trades, property, engineering, or another project-based sector is desirable
  • Experience automating tendering, project administration, invoicing, or finance workflows is desirable
  • Experience creating reporting dashboards or using business intelligence tools is desirable
  • Experience implementing AI agents or AI-powered business workflows is desirable
  • Advanced automation capability beyond basic AI tools or Zapier-style workflows
  • Highly proactive and self-directed
  • Comfortable working independently and alongside non-technical colleagues
  • Commercially focused and committed to practical outcomes
  • Able to communicate technical ideas clearly
  • Organised and detail-oriented
  • Willing to own the systems that have been implemented
  • Must disclose any existing ongoing roles or client work
  • Must identify the engagement on LinkedIn as “Independent Contractor”
