Studios and Creative Operations Coordinator

Coordinate studio resources, vendors, budgets, facilities, and production workflows for Future’s global specialist media operations. This full-time hybrid role is based in New York and supports the US studio hub.

Description

  • Maintain studio resource trackers, utilization reports, and freelance roster databases.
  • Organize studio operating routines by preparing agendas, recording meeting notes, and tracking actions.
  • Manage freelance onboarding, contract routing, deal memos, and vendor setup.
  • Monitor purchase orders, vendor invoices, and studio spending against approved budgets.
  • Coordinate facilities, equipment bookings, and edit suite scheduling for the US studio hub.
  • Direct Legal, Compliance, Rights, and Licensing requests to the appropriate stakeholders.
  • Support resource planning, traffic coordination, and operational dashboards for senior management.
  • Use spreadsheets, project management tools, and Google Workspace to monitor budgets, purchase orders, and invoices.

Requirements

  • Experience coordinating studio, production, or business operations within a media environment.
  • Proficiency with spreadsheets and digital project management systems.
  • Strong written communication skills and experience coordinating action items among senior stakeholders.
  • Discretion when handling confidential budget, contract, and personnel information.
  • Knowledge of vendor onboarding, invoice tracking, and purchase order administration.
  • Ability to manage several project timelines and deadlines at once.
  • Experience using spreadsheets and digital project management software to track operations.
  • Availability to work a hybrid schedule from the New York office.
