Senior Executive Administrator - Remote, United States

Support the CEO and executive leadership team at a technology-enabled healthcare utilization management company. Coordinate calendars, travel, documents, projects, events, and confidential compliance-sensitive information.

Description

  • Support the CEO and Executive Leadership Team
  • Represent the company as a primary contact for external stakeholders, including Board members and private equity staff
  • Support the Administrative Team and provide backup coverage when needed
  • Create internal and external corporate documents using Microsoft Office
  • Proactively coordinate Officers’ calendars, meetings, appointments, and travel itineraries
  • Prepare and reconcile expense reports
  • Monitor incoming email requests and ensure leadership receives important updates
  • Use technology to assist Officers with routine responsibilities, including meeting note-taking
  • Support ad hoc, large-scale projects led by the Executive Leadership Team
  • Maintain a well-organized electronic filing system
  • Coordinate with external business partners, including Board members, private equity representatives, and banking officials
  • Lead projects and events from planning through delivery, tracking deliverables, requirements, schedules, costs, and meeting plans
  • Protect confidential, time-sensitive, and personally identifiable information
  • Assist with Administrative Team responsibilities and scheduling backup coverage
  • Support Quality Management initiatives and Compliance Program activities while maintaining confidentiality and following HIPAA guidelines
  • Attend company meetings and training sessions
  • Perform other duties and responsibilities as assigned

Requirements

  • At least three years of experience providing direct support to one or more executive team members
  • At least one year of experience in customer service, logistics, and/or clerical work
  • Healthcare or managed care experience is preferred
  • Ability to perform effectively in a fast-paced, high-functioning office environment
  • Ability to work independently with minimal supervision
  • Exceptional customer service and interpersonal abilities, including effective prioritization of requests and deadlines
  • Strong attention to detail
  • Strong organizational, project management, and problem-solving skills with excellent multitasking ability
  • Proactive approach to resolving issues before they affect the office or employees
  • Strong clerical capabilities, including typing, filing, copying, and faxing
  • Advanced Microsoft Office proficiency, strong Excel formula knowledge, excellent PowerPoint skills, and ability to learn company-specific software
  • Working knowledge of the company’s clients, products, departments, workflows, regulatory requirements, and accreditation standards
  • Friendly, professional demeanor
  • High school diploma
