Description

  • Manage appointment scheduling for new and returning patients in IDX.
  • Triage appointment priorities according to patient charts and clinical requirements.
  • Arrange laboratory services and diagnostic testing through LastWord, NotesLink, Logician, and manual laboratory slips.
  • Organize inpatient testing logistics, including transportation, scheduling windows, and test types.
  • Facilitate communication between physicians, patients, nurses, and external testing laboratories.
  • Coordinate departmental consultation services.
  • Respond to questions about clinic policies and procedures.
  • Address patient concerns and complaints in collaboration with Medical Center professionals.
  • Arrange accommodations for patient needs, including interpreter services.
  • Prepare patient charts and complete pre-visit chart reviews.
  • Process TES files and collect requested information.
  • Apply medical coding to support accurate billing.
  • Coordinate surgeries and procedures, including instruments, room availability, and physician schedules.
  • Secure precertification and coordinate related activities with NCBH.
  • Explain procedure information to patients.
  • Authorize or secure required insurance authorizations.
  • Review encounter forms and help resolve billing questions.
  • Train less experienced staff as directed.
  • Complete required education and compliance training.
  • Participate in WFUP Clinical Operations Department meetings.
  • Handle other related responsibilities as assigned.

Requirements

  • High school diploma or GED equivalent.
  • Three years of clerical experience, including at least six months at the Patient Scheduling Coordinator level or an equivalent role.
  • Completion of the required certification program and adherence to accuracy standards.
  • BCLS certification within 30 days of hire.
  • Knowledge of third-party payer requirements.
  • Basic ICD-9 and CPT coding knowledge, or willingness to complete the courses after hire.
  • Typing accuracy of 5,000 keystrokes per hour with an error rate of 3% or less.
  • Ability to work independently in a demanding clinical environment.
  • Ability to manage multiple tasks at the same time.
  • Experience with IDX, Medipac, and LastWord.
  • Experience working with managed care organizations or health insurance companies.
  • Strong customer service orientation.
