Travel Site Setup Coordinator

Travel Site Setup Coordinator responsible for preparing Geode Health outpatient mental health offices for opening. Coordinates furniture, vendors, facilities, IT, inspections, and construction readiness across multiple markets.

Description

  • Travel to assigned locations to manage site setup from pre-opening activities through final readiness
  • Perform final readiness inspections to confirm each location is clean, functional, organized, customer-facing, and ready for employees
  • Arrange temporary office locations when needed
  • Order opening supplies and prepare break rooms, restrooms, common areas, reception areas, and other employee and customer spaces
  • Purchase, track, organize, and position office décor, accessories, and other setup materials
  • Test and verify sound masking, security systems, doors, locks, lighting, plumbing fixtures, and other office systems
  • Draft new-office welcome emails in coordination with Operations
  • Lead Operations walkthroughs to introduce teams to new offices and explain important site features
  • Capture completion photos and upload project closeout and readiness documentation to SharePoint
  • Order furniture and artwork from approved vendors and coordinate delivery, installation, staging, and placement
  • Supervise furniture and artwork installations and address installation problems
  • Research, evaluate, source, and organize vendors for location-specific products and services
  • Work with landlords and property managers to secure keys and site access
  • Oversee or coordinate security system installation and verify operational readiness
  • Meet inspectors and other required parties on site to support final readiness
  • Coordinate with IT to ensure computers, peripherals, and technology equipment arrive on schedule
  • Partner with Construction on site requirements, outstanding items, access, scheduling, setup dependencies, and turnover
  • Support facilities tickets and other construction- and opening-related site needs
  • Escalate deficiencies, damaged or missing items, schedule risks, and other issues that may affect opening readiness
  • Attend new-site and prospective-site visits, conduct pre-site walks, and organize photographs for Construction
  • Support miscellaneous build-out, turnover, and site tasks needed to complete projects

Requirements

  • Demonstrated organizational and project coordination ability, including management of vendors, deliveries, and deadlines
  • Comfort working independently in active construction, office, and property-management settings
  • Strong communication skills for coordinating with installers, vendors, landlords, inspectors, IT, Construction, and Facilities teams
  • Ability to interpret basic floor plans and use them to direct furniture, artwork, equipment, and office setup
  • Strong design sense and attention to visual details
  • High attention to detail with the ability to identify problems that could prevent a site from operating fully
  • Resourceful, hands-on problem-solving approach for resolving same-day setup and installation issues
  • Willingness and ability to travel extensively and adjust schedules to project and opening requirements
  • Previous experience in an administrative, project support, or team support role
  • Valid driver's license and ability to travel by car and air as required
  • Ability to lift 50 pounds
  • Ability to move regularly through office and construction settings, including prolonged standing and walking, staging supplies or décor, and performing other hands-on opening-preparation activities

Benefits

  • Estimated annual earnings of $80,000 to $110,000
  • Approximately 50% to 75% travel, depending on project volume and business needs
