Contracts Administrator - Milton Hybrid

Manage subcontractor onboarding, contract records, leases, and compliance documentation for Ledcor’s telecom network construction and maintenance operations. This full-time hybrid role is based in Milton or Toronto.

Description

  • Manage subcontractor onboarding and coordinate with relevant internal stakeholders.
  • Maintain subcontractor databases by uploading executed documents and assigning required data fields.
  • Prepare templated subcontracts, work orders, and amendments for internal review, approval, and execution.
  • Check and track onboarding materials, including insurance certificates, for completeness and contractual compliance.
  • Upload and record executed client contracts received from Operations teams.
  • Prepare quarterly reports identifying client contracts nearing expiration and share them with the appropriate internal teams.
  • Prepare standard NDAs requested by Operations and coordinate electronic signatures.
  • Prepare standard commercial leases and coordinate electronic signatures.
  • Help review quarterly Subcontractor Paid reports and alert Project teams to any deficiencies.

Requirements

  • At least two years of administrative support experience involving contracts and/or certificates of insurance.
  • Experience in construction, architecture, engineering, or commercial development is preferred.
  • Experience managing electronic records.
  • Demonstrated ability to organize records effectively and preserve confidentiality when required.
  • Strong written and verbal communication skills.
  • Ability to work independently while seeking guidance when appropriate.
  • Excellent organizational and coordination skills.
  • Ability to manage competing priorities and interruptions while meeting deadlines in a fast-paced setting.
  • Proficiency with Microsoft Word.
  • Knowledge of the telecommunications construction industry is an asset.
  • Familiarity with Microsoft applications, Salesforce, and Adobe tools such as Excel, SharePoint, Adobe Pro, and Conga is an asset.
