  • Coordinate the executive calendar across client, vendor, and internal meetings
  • Assemble meeting materials and follow through on outstanding actions
  • Write, review, and refine correspondence and internal summaries
  • Organize project records, contracts, permits, and warranty documentation
  • Monitor invoices, deposits, and recurring vendor communications
  • Act as a dependable contact while the executive is working in the field
  • Track deadlines, responsibilities, schedules, and decisions across active projects
  • Work with team leads to identify and flag project risks early
  • Maintain open-item records and drive follow-up through completion

Талаптар

  • Strong written and spoken English communication skills
  • At least three years of experience supporting an executive, founder, or small-business owner, preferably within a U.S. engineering or construction company
  • Proficiency with Microsoft 365 and spreadsheet tools
  • A dependable home office, professional video setup, and high-speed internet
  • Ability to manage confidential client and financial information
  • Availability from 8:30 a.m. to 5:00 p.m. Pacific, Monday through Friday
  • Experience in construction, real estate, civil engineering, architecture, or a related professional-services field preferred
  • Familiarity with permitting, contracts, or client billing preferred
  • Previous experience supporting a U.S. founder or executive team preferred
