RFP Writer | Remote, United States

Own end-to-end RFP responses for Swing Education, connecting schools with teachers. Develop compliant proposals while coordinating sales, operations, legal, and finance.

Description

  • Identify relevant RFPs, RFIs, and bids through portals, procurement notices, and related market signals
  • Lead leadership go/no-go discussions based on strategic fit, competition, timing, and likelihood of success
  • Record and prioritize new opportunities, with particular focus on the spring K-12 budgeting period
  • Create response schedules and compliance matrices
  • Write, revise, and compile proposal narratives, pricing exhibits, staffing plans, and required forms
  • Manage technical, pricing, and legal reviews through internal approval
  • Take responsibility for final formatting, proofreading, and submission
  • Work with account executives to clarify district requirements, challenges, and competitive dynamics
  • Gather operational and technical contributions from product, regional operations, and customer success
  • Coordinate with legal on contract terms, insurance documentation, and exceptions
  • Partner with finance to develop pricing structures and assess margin
  • Maintain up-to-date understanding of the marketplace model, offerings, pricing, geographic reach, and compliance procedures
  • Keep the proposal content library current, including standard language, templates, performance history, biographies, and differentiators
  • Analyze win and loss results, using loss reviews to strengthen messaging and resolve recurring weaknesses
  • Refine templates, style standards, and reusable proposal materials
  • Suggest workflow improvements as proposal volume increases
  • Manage standard RFPs independently from intake through submission, escalating complex or unusually large opportunities
  • Develop effective working relationships across sales, product, and operations
  • Deliver process improvements that shorten response times or increase win rates

Requirements

  • Demonstrated exceptional attention to detail
  • Two to four years of experience writing or coordinating proposals, RFP responses, or grant applications, ideally within B2B services, staffing, ed-tech, or public-sector environments
  • Able to manage a proposal from start to finish under tight deadlines
  • Strong project-management judgment, with the ability to maintain schedules and keep cross-functional contributors aligned
  • Excellent writing, editing, and synthesis abilities, including the ability to turn technical and operational information into clear, persuasive narratives
  • Experience coordinating contributions from sales, legal, finance, and operations teams, or clear aptitude for doing so
  • Familiarity with public-sector or K-12 procurement, including RFP portals, compliance standards, and scoring rubrics, is a plus
  • APMP certification or interest in pursuing it is preferred but not required
  • Bachelor's degree or equivalent practical experience
  • Enthusiasm for using and exploring AI
  • Currently authorized to work full-time in the United States without present or future sponsorship
