Office Manager - Houston Hybrid

Office Manager supporting Vaulted Deep’s executives, workplace operations, events, and vendor relationships. This role helps a carbon-removal company maintain an efficient, well-organized office environment.

Description

  • Support Vaulted Deep’s executive team with high-level administrative responsibilities
  • Coordinate calendars, travel arrangements, and meetings across multiple time zones
  • Keep the office organized, professional, stocked, and ready for employees and visitors
  • Oversee office vendors, building operations, equipment, refreshments, mail, and facility needs
  • Coordinate equipment ordering and setup for employee onboarding and offboarding
  • Improve office and business operations processes, including internal technology support
  • Plan and deliver company events such as team meals, celebrations, offsites, All Hands meetings, leadership retreats, board meetings, and holiday gatherings
  • Own event calendars, logistics, and on-site execution
  • Procure and manage company merchandise, business cards, welcome kits, employee gifts, and recognition materials
  • Identify, assess, and coordinate vendors for photography, web design, event support, and related services
  • Strengthen office culture through events, recognition programs, and attention to employee morale

Requirements

  • Demonstrated experience in office management, operations, executive assistance, or a comparable administrative role
  • Strong time management, organization, multitasking, and attention-to-detail skills
  • Able to reprioritize effectively while maintaining accuracy
  • Comfortable working independently, protecting confidential information, and exercising discretion with executives
  • Proficient with standard office applications, including Microsoft Office Suite
  • Highly dependable with consistent, timely follow-through on onboarding, calendars, events, and office operations
  • Strong written and verbal communication skills
  • Professional and effective when working with employees, vendors, and board members
  • People-focused approach to workplace operations
  • Authorized to work legally in the United States
