Remote Program Support Specialist at E2 Optics

Coordinate invoicing, procurement, vendors, staffing support, and project records for E2 Optics’ remote data center infrastructure and technology integration programs.

Description

  • Follow company and client safety policies and established safe work practices
  • Manage project invoicing independently while maintaining budget compliance
  • Review contract terms and resolve discrepancies with clients and internal stakeholders
  • Manage procurement and provisioning for critical project assets
  • Create and enforce procurement processes that meet budget, schedule, and legal requirements
  • Coordinate vendor onboarding, compliance reviews, certificates of insurance, and performance evaluations
  • Support subcontractor onboarding and maintain required documentation and compliance records
  • Resolve timecard exceptions, job-code issues, and discrepancies in field hours
  • Provide backup timecard approvals when the project manager is unavailable
  • Coordinate and approve complex travel arrangements
  • Lead project meeting scheduling and documentation
  • Record decisions, assign deliverables, and track accountability across teams
  • Support change order drafting and processing, including impact analysis and approvals
  • Work with HR and project leaders on staffing plans, requisitions, onboarding, and compliance reviews
  • Maintain standardized customer bid templates and project documentation systems
  • Manage equipment returns, cost recovery, vendor negotiations, and logistics coordination

Requirements

  • High school diploma or GED required
  • Obtain OSHA 10 certification within the first two weeks
  • Project coordination, administrative, or program support experience preferred
  • Strong organization, time management, and attention to detail
  • Capacity to manage competing priorities in a fast-paced setting
  • Experience with project management and financial platforms such as NetSuite, Smartsheet, Lever, or Paycom preferred
  • Excellent communication and interpersonal skills for working with teams, vendors, and subcontractors
  • Solid knowledge of invoicing, purchase orders, and budget tracking
  • Willingness and ability to travel as needed
  • Ability to regularly lift or move up to 40 pounds and frequently lift or move up to 25 pounds
  • Ability to regularly carry loads and climb ladders up to 20 feet
  • Ability to operate scissor lifts, telehandlers, boom lifts, and UTVs when required
  • Ability to work in tight or confined spaces
