Epic Cadence Scheduling Systems Analyst

Mid-level Epic Cadence analyst improving Guided Scheduling and patient access workflows. Supports WVU Medicine implementations, scheduling templates, workqueues, and MyChart scheduling.

Description

  • Design, implement, maintain, and optimize software systems independently.
  • Investigate system issues, fix errors, administer user security, and address urgent incidents.
  • Update, configure, and test systems, workflows, and integrations.
  • Conduct functional and integrated tests, then record the results.
  • Handle data imports and exports and prepare basic reports.
  • Identify and deliver system upgrades and process improvements.
  • Work with senior analysts, subject matter experts, business partners, clinical and operational leaders, vendors, and other stakeholders.
  • Collect requirements and convert department scheduling rules into automated workflows.
  • Help direct the development, refinement, and launch of the Guided Scheduling initiative.
  • Maintain Epic Cadence features such as decision trees, questionnaires, mapping rules, visit types, templates, workqueues, and provider search terms.
  • Align legacy visit types across clinical specialties and connect them to scheduling templates and workqueues.
  • Expand scheduling processes to include MyChart Open and Direct Scheduling and Ticket Scheduling.
  • Coordinate project plans, scope, deliverables, timelines, milestones, meetings, records, risks, and issues.
  • Train and support end users through classroom sessions, individual coaching, remediation, and ongoing assistance.
  • Evaluate user readiness and help develop training programs and materials.
  • Continue building technical expertise and share knowledge with colleagues and teams.

Requirements

  • Bachelor’s degree in computer science, information technology, or a related discipline, or at least four years of relevant experience instead of a degree.
  • Relevant certifications or demonstrated proficiencies may be required; aim to complete them within 90 days after formal WVUHS Information Technology training.
  • At least one year of relevant experience is preferred.
  • Practical experience with relevant business, clinical, payer, or web application systems and their workflows.
  • Proficiency in systems administration.
  • Experience in both inpatient and outpatient clinical environments.
  • Knowledge of clinical data management and healthcare interoperability standards such as HL7, FHIR, and DICOM.
  • Familiarity with cloud-based healthcare applications and web services.
  • Knowledge of reporting software and tools.
  • In-depth knowledge of patient access and scheduling processes.
  • A record of delivering successful Epic Cadence implementations.
  • Experience with advanced scheduling tools, including decision trees, mapping rules, visit type consolidation, workqueues, provider search terms, and template optimization.
  • Practical experience designing and building Cadence decision trees, questionnaires, and mapping rules.
  • Experience reviewing, cleaning, and standardizing legacy visit types across clinical specialties.
  • Experience linking scheduling workflows to template structures and automated scheduling workqueues.
  • Demonstrated experience with MyChart Open or Direct Scheduling and Ticket Scheduling.
  • Strong analytical, troubleshooting, testing, communication, interpersonal, teamwork, adaptability, change management, and time-management abilities.
  • Ability to travel to WVUHS facilities or affiliated locations as needed.
