Office Coordinator – School-Based Health Center

Coordinate student appointments, records, referrals, and patient flow at Lynn Public Schools’ School-Based Health Center. Support medical and behavioral health providers serving students in Lynn, Massachusetts.

Description

  • Support the School-Based Health Center’s daily operations and routine activities
  • Coordinate students’ medical and mental health care with behavioral health clinicians and medical providers
  • Schedule appointments for medical, behavioral health, and psychopharmacology providers
  • Organize and maintain patient registration, parental consent, encounter, provider-note, and other record systems
  • Update insurance coverage, demographic details, and patient records at each encounter
  • Complete medical and behavioral health referrals and related communications
  • Coordinate the movement of students into and out of the School-Based Health Center
  • Answer phones and handle word processing and data entry
  • Support clinic services and communication among Lynn Community Health Center, Lynn Public Schools, students, staff, nurses, parents, and School-Based Health Center personnel
  • Monitor and coordinate patient flow to support efficient medical and behavioral health services
  • Maintain order and discipline within the School-Based Health Center
  • Order and replenish office supplies
  • Communicate relevant patient observations to providers and escalate urgent assessment needs
  • Help providers follow up on missed appointments, laboratory tests, referrals, insurance details, teacher notes, and appointment reminders
  • Prepare reports and update School-Based Health Center forms and notices for DPH, Lynn Community Health Center, and the School-Based Health Center
  • Build students’ confidence and trust in School-Based Health Center and Lynn Community Health Center services
  • Transport laboratory samples and interoffice or external mail between the School-Based Health Center and Lynn Community Health Center
  • Help uninsured students with enrollment referrals
  • Provide interpreter services when certified by the Health Center
  • Provide coverage at other School-Based Health Center sites when assigned, including remote coverage and cross-training
  • Register patients in EPIC or another electronic system
  • Process confidential care applications in accordance with Lynn Community Health Center policy
  • Attend required training sessions and monthly meetings

Requirements

  • Demonstrated reliable attendance and a positive approach to work
  • Experience working with children or adolescents, especially the age group served by the assigned school
  • Previous experience in a healthcare or mental health setting is preferred
  • Familiarity with medical records and healthcare terminology is preferred
  • Computer proficiency and typing skills
  • Experience using Microsoft Office, including Word, Outlook, Excel, and PowerPoint
  • Knowledge of third-party billing and insurance reimbursement
  • Ability to multitask effectively in a fast-paced environment
  • Flexibility in handling changing needs
  • Effective communication with students, parents, and professionals across multiple disciplines
  • Strong organizational and interpersonal skills
  • Ability to work independently, stay motivated, pay close attention to detail, and be appropriately assertive
  • Current immunizations and annual tuberculosis testing are required
  • Acceptable CORI results under Health Center standards
  • Personal transportation for moving laboratory specimens, vaccinations, mail, or supplies between the School-Based Health Center and Lynn Community Health Center
  • Ability to protect patient confidentiality
  • Experience with or ability to use EPIC or another electronic patient management system
  • Availability for mandatory monthly training meetings
