Editorial Assistant, Fantasy and Science Fiction

Support HarperCollins’ HarperVoyager and HarperMagpie imprints with editorial administration and title production. The role spans metadata, proofreading, author and agent liaison, and publishing workflows.

Description

  • Support editorial and administrative work for the HarperVoyager and HarperMagpie team
  • Coordinate diaries, meetings, travel, expenses, and agent lunches
  • Arrange author and agent meetings and presentations, and prepare supporting documents
  • Compile weekly sales data for authors and agents
  • Coordinate freelancers, raise purchase orders, and process invoices
  • Help the Desk Editor and Assistant Desk Editor keep titles on schedule
  • Maintain agendas and spreadsheets for team, global, and divisional meetings
  • Prepare advance materials for sales, marketing, and rights teams
  • Organise divisional presentations
  • Create and maintain Advance Information sheets
  • Update metadata and Amazon listings
  • Proofread jacket, catalogue, and Advance Information Sheet copy, and check covers
  • Prepare cover briefs and copy, launch documents, and deal memos
  • Send finished books to authors and agents
  • Coordinate publication round-ups
  • Support selected titles through publication, including freelancer onboarding, copy-editing and proofreading coordination, proof checks, prelims, production files, back ads, ebooks, and tip-ins
  • Work with sales, marketing, production, and design to keep materials on schedule
  • Onboard authors and agents, manage contracts, and create title records
  • Write rejection letters, respond to general enquiries, and log and track submissions

Requirements

  • Bring solid administrative and organisational experience or knowledge
  • Have strong computer skills
  • Understand publishing production and critical path processes
  • Demonstrate excellent problem-solving, decision-making, and prioritisation skills
  • Use Microsoft Office and other applications and systems, such as Adobe Acrobat
  • Show strong accuracy and attention to detail, including proofreading ability
  • Previous publishing experience is an advantage
  • Have a love of books and an interest in science fiction and fantasy
