Contracts Manager at Ware Malcomb (Hybrid, Mexico)
Manage contract negotiations, agreement reviews, insurance documentation, and compliance processes for Ware Malcomb, a global commercial real estate design firm. Partner with legal counsel, project teams, clients, consultants, and insurance brokers to support contract execution and collections activities.

- Lead contract negotiations with clients and consultants to establish mutually acceptable terms
- Review and redline professional services agreements, identifying potential issues within 48 hours
- Collaborate with external legal counsel on client-provided agreements and revisions
- Assess contractual concerns and recommend appropriate next steps
- Support negotiations on contract terms and conditions by proposing alternative clauses
- Track contract status and secure executed agreements from project teams and clients
- Review and coordinate signatures for NDAs and consent or assignment forms
- Manage renewals and filing for active Certificates of Insurance
- Work with the insurance broker to address coverage issues
- Coordinate with the legal team on demand letters, liens, and collection actions for overdue accounts
- Create and deliver training for project teams on consistent procedures and practices
- Contribute to strategic planning, improve Contracts group operations, assess resource needs, and support staff development

- Experience redlining professional services agreements
- Experience reviewing and negotiating contract documents
- Ability to work effectively in a fast-paced environment while managing multiple deadlines
- Excellent written and verbal communication and customer service skills
- Familiarity with common legal terminology
- Highly organized, self-motivated, and attentive to detail
- Ability to prioritize and manage multiple tasks independently while meeting deadlines and desired outcomes
- Strong interpersonal skills and ability to collaborate across organizational levels
- Proficiency with Microsoft Office applications
- Experience with Deltek Vantagepoint software is a plus
- Bachelor’s degree in business, accounting, finance, or a related field is preferred
