Chief of Staff, Fathom

Partner with Fathom’s CEO and leadership team to strengthen company operations, deploy AI agents across internal workflows, and manage board and investor communications.

Description

  • Coordinate leadership routines, including staff meetings, OKRs, quarterly planning, and follow-through.
  • Manage core operations across go-to-market, finance, and people, covering pipeline reviews, forecasting, reporting, and planning cycles.
  • Oversee HubSpot and essential internal tools, maintaining data quality, stage definitions, and dashboards for leadership and the board.
  • Lead CEO initiatives such as diligence, RFP responses, market research, and internal process design.
  • Find and resolve operational problems as the company grows.
  • Document internal workflows and find processes suited to automation with AI agents.
  • Build and run AI agents with Claude, HubSpot, and internal data, and maintain them in production.
  • Set guidelines for agent usage and output review, and measure recovered time and cost.
  • Help teams across the company adopt and use AI agents.
  • Coordinate board meetings, from agendas and materials to advance reading and follow-up.
  • Prepare and improve investor updates, board presentations, and other CEO communications as needed.
  • Monitor board and investor commitments through completion.

Requirements

  • Bring four to eight years of experience in business operations or strategy at a growth-stage company, consulting, banking, or a previous chief of staff role.
  • Have practical experience building workflows with large language models and AI agents.
  • Be comfortable with basic scripting, APIs, and CRM setup.
  • Apply strong analytical skills, including building Excel models and extracting data.
  • Write clearly and effectively for board memos and investor updates.
  • Use systems thinking and take initiative.
  • Exercise sound judgment and discretion with sensitive company, customer, and investor information.
  • Be curious about revenue cycle operations and clinical AI.
  • Healthcare or enterprise SaaS experience is a plus.
