Inbound Licensing Coordinator (Onsite, Los Angeles)

Coordinate licensing approvals for MGA Entertainment’s global toy and entertainment brands. Manage submissions, stakeholder communication, licensor feedback, tracking, revisions, and final sign-offs across product, packaging, marketing, and digital assets.

Description

  • Manage approval workflows for licensed products, packaging, marketing materials, sales assets, digital content, and other licensor-reviewed materials.
  • Partner with Sales, Brand Marketing, Creative, and internal teams to collect assets, confirm requirements, and set submission schedules.
  • Create and submit approval requests through licensor portals and other designated channels.
  • Organize creative reviews, interpret feedback, and support revisions with the Senior Director of Creative, Inbound Licensing.
  • Serve as the primary day-to-day contact for approval communications between internal teams and licensing partners.
  • Coordinate feedback, clarify requested changes, and track revisions and resubmissions through final approval.
  • Keep a centralized approvals tracker updated with submission status, open actions, deadlines, and anticipated delays.
  • Escalate approval conflicts and issues that may affect launches, production timelines, or campaign delivery.
  • Maintain version-controlled records of submissions, feedback, approved assets, and final sign-offs.
  • Share approval status and usage conditions to ensure required sign-offs are secured before production, publication, or distribution.
  • Refine submission workflows, briefing templates, and communication practices to minimize rework and support timely approvals.

Requirements

  • Working knowledge of licensing and marketing, including licensor approval workflows, brand guidelines, and marketing asset development.
  • Previous experience in marketing coordination, licensing, creative operations, project coordination, or a related function.
  • Strong organizational ability to manage multiple submissions, shifting priorities, and overlapping deadlines.
  • Clear written and verbal communication skills, with confidence collaborating across internal teams and external partners.
  • Careful attention to detail when reviewing assets, consolidating feedback, and maintaining approval documentation.
  • A proactive and collaborative working style, including the judgment to follow up and escalate issues when needed.
  • Proficiency with Microsoft Office and project tracking tools; familiarity with licensor approval platforms is a plus.
  • Background in toys, entertainment, consumer products, or licensed brands is preferred.
